CommonWatch FOI on Power Platform

FOI request tracking built on Microsoft Power Platform and Dataverse.

CommonWatch FOI is a managed solution on Microsoft Power Platform: Dataverse tables for every request, a Power Apps model-driven app for staff, a Power Pages portal for requesters and server rules that run inside Dataverse. It installs in your Microsoft tenant or runs hosted by Two Rivers Digital, in Canada.

What it is built from

Dataverse, Power Apps and Power Pages.

  • Dataverse tables. Requests, records, pages, letters, searches, third parties, fees, retention and the audit trail live in Dataverse tables, the same data platform as Dynamics 365.
  • Model-driven app. Staff open the CommonWatch FOI app in Power Apps. The workspace shows each request with its legal clock, work by role, letters and the review desk.
  • Power Pages portal. Requesters sign in, submit requests, follow each one and download what is released to them on the requester portal.
  • Server rules. Dataverse plug-ins enforce the clock, extensions, fees and release approval on the server, so the rules hold in the app, in the portal and through the API.
Microsoft 365

Entra ID, your FOI mailbox and SharePoint.

  • Sign-in. Staff sign in with Microsoft Entra ID, the account they already use for Microsoft 365, under your multifactor and conditional access policies.
  • Email. Letters go to requesters from your FOI mailbox through Dataverse email, and each sent letter keeps its fingerprint on the request.
  • Documents. Record files stay in Dataverse, or in a SharePoint library on its own site. The SharePoint connection has write access to that one site only and signs in with a managed identity, with no stored secret.
  • Excel. Request lists, deadlines, work queues and each request's audit trail export to Excel.
Roles

Security roles for each job in a records unit.

CommonWatch FOI ships its own Dataverse security roles: Analyst, Coordinator, Approver, Read-only and Custodian. The person who prepared a release can't approve it, and the server enforces that.
